Choosing a Sourcing Agent in Turkey: A Wholesale Buyer’s Guide

Define the buying brief before searching

A retailer buying available stock and a brand ordering custom production need different support. Stock purchasing depends on availability, size assortments and dispatch dates. Custom production adds specifications, sample approval and a manufacturing schedule. Ask which buying model the agent can support before requesting prices.

Prepare a short brief covering product category, target price range, approximate quantity, destination, required date and reorder frequency. Add materials, dimensions, colours and packaging requirements alongside reference photographs. An unclear brief produces offers that look comparable but describe different products.

Separate sourcing from consolidation

Sourcing identifies potential products and suppliers. Buying coordination may cover commercial discussions and delivery follow-up. Consolidation brings orders from your chosen suppliers into one receiving hub. A company may support several stages, but each scope should be stated separately.

If you already have five approved wholesalers, you may need receiving and shipment coordination rather than a new supplier search. If you have no supplier yet, your first milestone is product suitability and supplier evaluation. Clarifying this prevents paying for work you do not need or assuming that an essential task is included.

Compare every offer with the same checklist

• How many suppliers will be researched, and what comparison will you receive?
• Is the proposed supplier a manufacturer, wholesaler or another intermediary?
• Are samples, site visits, inspections and repacking included?
• Is the fee fixed or commission based, and is any supplier commission also received?
• Who pays the supplier, and which company issues the invoice?
• How are shortages, delays or differences from the approved sample handled?

Compare total scope, not just the agency fee. Sample delivery, domestic pickup, storage and export coordination may be separate charges. Put inclusions and exclusions side by side. Keep your merchandise budget separate from the transport budget so that quotations are based on the same assumptions.

Document supplier checks and sample approval

The company named in an offer, the invoicing party and the payment recipient should be consistent. Request supplier details and a written explanation of what verification the agent performs. A social profile or attractive catalogue alone does not establish production capacity.

Record sample measurements, colour, material, workmanship and packaging, and link the approval to a specific order. Counting sealed cartons at a warehouse is different from inspecting individual products. Specify the inspection scope before goods arrive, including what evidence is recorded and who decides whether a discrepancy is acceptable.

Use the first order to establish a repeatable workflow

Set clear milestones for the purchase record, supplier readiness, sample approval, warehouse receipt and dispatch approval. Agree when you will receive photographs, receiving records or progress updates. For references, ask for operational examples the company is permitted to share, rather than confidential customer information.

A useful first order tests communication as well as product delivery. Keep a record of unanswered questions, changes to quantities and agreed follow-up dates. These records make the next purchase easier and help distinguish a supplier problem from a coordination problem.
